CRM for Real Estate Agencies
A real estate CRM is the internal system that shows which stage each lead is at, which listings they've been shown, and when the next viewing is. We haven't delivered a dedicated lead-and-viewing CRM for real estate yet; we adapt the panel architecture from Nexos Investment and the sync logic behind Emlak Sync.
Where real estate agencies lose leads and listings
When leads live across WhatsApp, calls, and spreadsheets, which stage a client is at exists only in an agent's memory.
Without a shared viewing calendar, two agents can book the same property for the same time slot.
When an agent leaves, the history of everyone they were following leaves the agency with them.
How we work
A real estate CRM is a different layer from listing software: a listing site markets the property, a CRM manages the agent's relationship with the buyer — where the lead came from, which properties they've seen, what stage they're at, what the next step is. When that information lives in spreadsheets or an agent's personal notes, the number of leads that fall through the cracks grows with the agency; when an agent leaves, the entire relationship history goes with them. A properly built CRM instead unifies lead, listing, and appointment data in one model — the owner sees how many leads each agent is carrying at a glance, and client history survives staff turnover.
Our experience here comes from two products: at Nexos Investment we built listing and project data management, multilingual content, and a role-based admin panel from scratch — a system architecture that runs an agency's daily work. At Emlak Sync we built the sync logic that lets a listing be entered once and published across multiple portals automatically; the same single-entry principle applies to lead and client data. We don't yet have a finished CRM project doing agent-level lead tracking and viewing scheduling — we say that plainly. But the panel architecture, role-based access, and sync experience from these two products are a direct foundation for building one.
We start by mapping the agency's actual workflow: where leads come from, how many stages they pass through, who hands off to whom. We then turn that into a data model — lead record, listing match, viewing calendar, and reporting modules — and FurCRM's customer/account tracking and dealer management, though built for a different industry, carries the same architectural logic. Scope depends on agent count and lead volume; a small team might need only a simple lead list, while a growing agency prioritizes reporting and automated reminders sooner. As the system grows it can also connect to Emlak Sync's portal sync.
What this solution includes
- Lead source, stage, and agent assignment on one screen — no inquiry sits forgotten in someone's inbox.
- Listing-to-buyer matching — an agent sees every prospect interested in a given property in one list.
- Viewing calendar with automatic reminders — a missed appointment doesn't have to mean a lost sale.
- Role-based panel architecture — the same pattern we built for Nexos Investment, where owner, agent, and assistant work with different permissions.
- Emlak Sync's single-source-of-truth logic keeps lead data from scattering across spreadsheets and WhatsApp threads.
